What we collect
We only collect what you give us through our forms, by phone or by email:
- Quote requests: your name, company, phone number, email address, collection and delivery postcodes, dates, and details of the goods.
- Contact messages: your name, company, email address, phone number and your message.
- Terms of carriage requests: your email address, and your name and company if you give them.
- Driver applications: your name, home postcode, phone number, email address, licence categories, Driver CPC and tachograph card status, years of experience, and anything else you tell us.
- Bookings: collection and delivery addresses, contact names and numbers at each end, and proof of delivery details (the recipient's name and the delivery time).
Our website does not use cookies, analytics or advertising trackers.
Why we use it
- To quote for and carry out your job. We use your details to give you a price, plan the collection and delivery, keep you updated and confirm delivery. Our legal basis is taking steps at your request before entering into a contract, and performing that contract.
- To reply to your messages and requests. Our legal basis is our legitimate interest in responding to people who contact us.
- To consider driver applications. Our legal basis is taking steps before entering into an employment or engagement contract, and our legal obligation to check the right to work and driving entitlement.
- To keep business records. We keep invoices and booking records because the law requires us to.
We do not sell your information, and we do not use it for marketing unless you have asked us to.
Who we share it with
We only share your information with the services we need to run the business, and only for that purpose:
- Netlify hosts this website and receives the forms you send through it.
- Our email provider stores the emails we send and receive.
- PassKit issues digital staff ID passes to our own drivers and staff.
- Our drivers and subcontracted carriers receive the collection and delivery details they need to complete your job.
- Our accountants, insurers and legal advisers, and authorities such as HMRC or the police, where the law requires it or to handle a claim.
Some of these providers may store information outside the UK, including in the United States. Where they do, the transfer is protected by safeguards recognised under UK data protection law, such as the UK International Data Transfer Agreement or Addendum, or an adequacy decision.
How long we keep it
- Quote requests and messages that don't lead to a booking: 12 months.
- Booking, proof of delivery and invoice records: 6 years after the end of the financial year, as required for tax and accounting.
- Unsuccessful driver applications: 6 months after we make a decision.
- Terms of carriage requests: 12 months.
Staff ID checks
Our drivers carry a digital ID with a QR code. Scanning it opens a private page on this website showing the driver's name, photo, staff ID, role, licence categories and whether the ID is active. Each page has a random, unlisted address, is hidden from search engines, and is removed or marked as cancelled when someone leaves. Our staff are told about this separately.
Your rights
You have the right to:
- ask for a copy of the information we hold about you
- ask us to correct anything that's wrong
- ask us to delete your information, where we don't need to keep it by law
- object to, or ask us to restrict, how we use it
- ask us to transfer it to another organisation
To use any of these rights, email operations@chesworthfreight.co.uk. We'll reply within one month.
Complaints
If you're unhappy with how we've handled your information, please tell us first so we can put it right. You also have the right to complain to the Information Commissioner's Office (ICO) at ico.org.uk/make-a-complaint or on 0303 123 1113.
Changes to this policy
We'll update this page if anything changes. The date at the top shows when it was last updated.
